Service Provider Onboarding

The Service Provider Onboarding process ensures your account is fully configured and compliant before you can deliver services through the Sensible Care platform. The onboarding workflow guides you through a series of structured stages, each requiring specific information to be entered or uploaded before you can proceed.

Before starting, ensure you have the following ready:

  • ABN and registered business details
  • Contact information
  • Service pricing configurations
  • Banking details
  • Compliance documents and insurance certificates
  • Any professional registrations or certifications

All mandatory fields are marked with a red asterisk (*) and must be completed before proceeding. Your progress is automatically saved, so you may pause and return at any time.

Business Registration

To begin your registration on the Sensible Care platform, navigate to the landing page and click the Register button. You will be redirected to the Service Provider onboarding workflow.

Stage 1 — Business Information

The first stage requires you to enter your official business details exactly as they appear in your ABN registration records.

Required Fields

  • Provider or Supplier Name
  • ABN
  • Business Commencement Date
  • Business Address
  • Phone Number
  • Email Address

Important Notes

  • Ensure all details are accurate
  • Your email address will be used for all onboarding updates and approval notifications
  • All fields marked with (*) are mandatory

Stage 2 — Service Details

The second stage requires you to configure the services your organisation will deliver through the platform.

For Each Service, You Must

  • Select the appropriate Service Category and Sub-Category
  • Provide a clear Service Description
  • Choose a Billing Unit — Hourly, Daily, Per Session, or Per Visit
  • Enter the corresponding Service Pricing

If your organisation offers more than one service, you may add each one separately before proceeding.

Stage 3 — Banking Information

The third stage requires you to provide your banking details to enable payment processing for approved invoices.

Required Banking Fields

  • Account Name
  • Bank Name
  • BSB Number
  • Account Number

Important Notes

  • Review all banking details carefully before continuing
  • Errors may delay payment transfers
  • All banking information is securely encrypted within the platform

Stage 4 — Compliance Documents

The fourth stage requires you to select your provider type and upload all required compliance and verification documents.

Provider Types

  • Sole Trader
  • Company

Documents Generally Required by All Providers

  • Business Insurance
  • ABN Registration
  • Service Agreement
  • Supporting compliance documentation

Additional Documents for Sole Traders

  • AHPRA Registration
  • Police Check
  • CPR Certificate
  • First Aid Certificate
  • Driver's Licence
  • TFN Declaration

Additional Requirements for Company Providers

  • Company registration confirmation
  • Employee count details

Document Requirements

All uploaded documents must be:

  • Clear and readable
  • Valid and not expired
  • In a supported file format

Stage 5 — Compliance Declaration

The final stage of the registration process involves completing a compliance declaration.

Steps to Complete

  1. Download the declaration form
  2. Review the declaration carefully
  3. Sign the declaration
  4. Return to the onboarding form
  5. Click Complete Registration to submit your application for review

What Happens After Submission

  • You will receive a confirmation email acknowledging your submission
  • A separate agreement email from the Compliance Officer will follow, containing a secure link to complete your provider agreement
  • Your account will not be fully activated until the agreement has been completed and approved

Receiving the Invitation

Once your registration has been successfully submitted, the Sensible Care team will begin reviewing your application. During this stage, you will receive two important emails to your registered email address.

Account Confirmation Email

The first email is an account confirmation email which confirms that your registration has been successfully received and that your account is pending review.

This Email Will Contain

  • Confirmation that your registration has been received
  • Notification that your account is pending review
  • A link to set up your account password

Tip: Ensure you check your inbox, including your spam or junk folder, to avoid missing this communication.

Agreement Email

The second email is sent from the Compliance Officer and contains a secure SnapForms link to complete your provider agreement.

Important

  • This agreement must be completed before your account can be fully activated
  • The link is unique to your provider account
  • Do not share this link with others

Setting Up the Password

Upon receiving the first confirmation email, you must set up your secure password for the Service Provider Portal.

Password Setup Steps

Click the link provided in your account confirmation email.

Step 2 — Create Your Password

Ensure your password meets the platform's security requirements.

Step 3 — Save Your Credentials

This password, combined with your registered email address, will be used for all future logins.

Recommendation: Store your credentials in a safe and accessible location.
