Client Onboarding

The Sensible Care Client Portal is a dedicated workspace designed to give you full visibility and control over your care plan, budget, invoices, payments, and care team — all from one secure location.

Plan Managed vs Self Managed Clients

Overview

Clients can belong to one of two management categories within the platform:

  • Plan Managed
  • Self Managed

Each category determines how the client accesses budgets, invoices, reimbursements, and payment-related functionalities.

Plan Managed Clients

Description

Plan Managed clients follow the standard plan-managed workflow configured within the platform.

Access & Features

Plan Managed clients can access:

  • Budget information
  • Care team details
  • Portal settings
  • Standard payment-related workflows (based on configured permissions)

Invoice & Payment Visibility

Plan Managed clients are not able to directly view reimbursement invoices and payment details within the client portal.

This is because invoice handling and payment processing are managed externally through the assigned Plan Manager workflow.

Self Managed Clients

Description

Self Managed clients handle their own reimbursements and invoice management directly.

Access & Features

Self Managed clients have access to:

  • Reimbursement invoice viewing
  • Payment tracking
  • Invoice submission workflows
  • Budget and portal access (based on permissions)

How a Client Becomes Self Managed

In the current implementation:

Enabling Client Reimbursements from the Admin Portal automatically converts the client into a Self Managed client.

Important Note

If a client is marked as Plan Managed, they will not be able to view invoices or related payment details in the portal.

To allow invoice and reimbursement access, the client must be configured as Self Managed by enabling Client Reimbursements from the Admin Portal.

Once your profile has been set up by the Sensible Care team, you will receive an invitation email to begin the onboarding process.

Receiving the Invitation

Once your profile has been verified, the Sensible Care team will begin your onboarding process. During this stage, you will receive an invitation email at your registered email address.

Account Confirmation Email

The invitation email is an account confirmation email which confirms that your Client account has been created and is ready for setup.

This Email Will Contain

  • A link to set up your account password
  • Instructions for accessing the Client Portal

Tip: Ensure you check your inbox, including your spam or junk folder, to avoid missing this communication.

Setting Up the Password

Upon receiving the onboarding email, click the link provided to set up your secure password for the Client Portal.

Password Setup Steps

Click the link provided in your account confirmation email.

Step 2 — Create Your Password

Ensure your password meets the platform's security requirements.

Step 3 — Save Your Credentials

This password, combined with your registered email address, will be used for all future logins.

Recommendation: Store your credentials in a safe and accessible location.

Logging In to the Client Portal

Once your password has been set up and your account has been activated, navigate to the Sensible Care login page to access the portal.

Login Steps

Step 1 — Enter Your Credentials

Enter your registered email address and password on the login page.

Step 2 — Alternative Sign-In

You may also use the Sign in with Microsoft option if your organisation uses Microsoft credentials.

Step 3 — Stay Signed In

Select Remember Me if you wish to stay signed in on your device.

Step 4 — Access the Dashboard

Upon successful login, you will be directed to the Compliance Dashboard.

Forgot Your Password?

If you have forgotten your password, click the Forgot Password link and follow the instructions to reset it.
